What you are paying for
An AI assistant that runs the club, not just a chatbot
Zoe, included with all current plans, answers questions in plain English for admins, coaches, and parents, and takes action with your confirmation: building out programs, classes, and schedules from an uploaded roster, registering players, sending invoices, following up on overdue dues, sending RSVP reminders, and more. The platform is the same whether your club collects through HenZoe or on its own; the only difference is how the software is paid for.
Enterprise agreements
Organizations with more than 1,000 players or academy networks are served under enterprise agreements. Pricing reflects your organization's structure and payment volume, and onboarding and migration are scoped with your team.

Is there a free trial?
Yes. The trial runs 30 days and requires no payment method. It does not convert to a paid subscription on its own; you review the exact price and confirm before subscribing.
How does the software fee waiver work?
While HenZoe Payments is active and your club collects its registrations through HenZoe, the software price is waived. There is no usage-percentage requirement. The portion HenZoe keeps from your families' checkout fees, after payment-processing costs, counts toward the annual platform minimum, and if a billing year's fees total less than the minimum, HenZoe invoices only the difference. Our team confirms your size band and sets up billing with you.
What is the platform minimum?
The platform minimum is the annual minimum that applies while the software price is waived. It equals 45% of the listed price for your size band: $221, $446, $1,121, or $2,246. The portion HenZoe keeps from your families' checkout fees, after payment-processing costs, counts toward it, not the full amount families pay. Your billing year begins on the date your club activates HenZoe Payments, and if the year's fees total less than the minimum, HenZoe invoices only the difference at the end of the billing year.
How is an active player defined?
Your active player count is the highest number of players with a current-season enrollment at any one time during your term, as recorded in your HenZoe roster.
What happens if our player count moves into a different size band?
Your bracket is set by your active player count. If it moves into a different size band, our team works with you to apply the correct band to your account.
Why do bank transfers cost less than card payments?
Bank (ACH) transfers cost less to process than card-network payments, and the rate reflects this: 1.75% + $1.00, capped at $20 per transaction. On a $5,000 payment, the fee is $20 by bank transfer versus approximately $165.50 by card. Bank transfer is selected by default at checkout.
When are payouts made?
Payouts are made through Stripe to your club's connected account.
How are refunds and disputes handled?
You can issue a full or partial refund from your dashboard, and the amount is returned to the family's original payment method. HenZoe's checkout fee on that payment is also returned. Card disputes carry a $15 dispute fee, plus $15 more if you contest it.
Is Zoe AI usage capped?
Zoe AI is included with all current plans under a fair-use policy designed to comfortably cover normal club operations, including scheduling, communications, summaries, drafts, and reminders. Where usage falls outside fair use, such as bulk scraping or unattended automation, our current practice is to contact the club before applying any limits.
Do we have to use the automated features?
No. Registration, invoicing, and dues follow-up are designed to run with minimal effort, and you can review and approve each step or turn individual automations off if your club prefers to handle them manually.
How long is chat history retained?
Media storage is included with all current plans, with a retention window for chat messages and attachments that we believe comfortably covers normal club use. If your club needs longer retention, contact us. Rosters, schedules, attendance, payments, and assessment records are retained while the account is active, and data can be exported during that period.
What support is included?
Email and in-app ticket support are included with all current plans. Enterprise agreements are supported directly by our team.
Are staff, families, teams, or events capped?
Staff, family, team, class, event, and tournament counts are not separately capped or charged today. Pricing is based on active players.
What happens if we stop collecting payments through HenZoe during a billing year?
Your club transitions to its size band's annual price. Your payment records remain in your account.
Does HenZoe hold club funds?
No. Families pay into your club's own connected Stripe account, and payouts are transferred from that account to your bank. HenZoe is not a bank and does not hold club funds.
Does HenZoe support sports other than soccer?
Yes. Soccer is the launch vertical, and the platform supports youth sports and activity clubs generally, including basketball, volleyball, swim, martial arts, dance, and music programs.
